Reports To: Financial Reporting Manager

Location: Columbia, MD

Position Summary: Responsible for the payroll, auditing, and general administrative activities of the organization. Leads the processing of payroll functions of the Columbia and Canadian organizations. Conduct bi-weekly, monthly, quarterly, and bi-annual benefit audits for our Columbia and Indiana locations.

 

Essential Functions and Responsibilities:

Payroll Function

  • Process bi-weekly (US) and bi-monthly payroll (CN) for Ambu Inc. employees, plus monthly commissions and quarterly/annual bonuses
  • Reconcile payroll prior to transmission and validates reports
  • Manage workflow to ensure all payroll transactions are processed accurately and timely
  • Audit timecards prior to processing for completeness and accuracy
  • Research, analyze, and resolve all discrepancies, reporting to management as needed
  • Ensure compliance with applicable federal, state, local and regulatory reporting requirements and guidelines; remain current on new legislation and regulatory rulings that impact payroll
  • Primary point of contact with payroll company (Paycom)
  • Act as liaison between the Human Resource Department and various customers, including but not limited to: Sales, Marketing, Finance, Contracts, and Customer Service.
  • Work directly with the Financial Reporting Manager, serve as payroll control specialist for both Ambu Inc. and King Systems in several areas to ensure accuracy between systems and application of consistent planning assumptions. Several examples include:
    • Reconciles 401(K) deferral rates by employee prior to every payroll run.
    • Reconcile Medical Benefits monthly
    • Reconciles additional benefits by employee prior to every payroll run.
    • Post Payroll entries to GL
    • Generate ad-hoc payroll reports for Finance (ex. Headcount/FTE, Gross earnings, etc.)

Auditing Function

  • Health and Voluntary Benefits
    • Conduct Monthly Health and Voluntary Benefit Audits for Columbia and Indiana
    • Identify discrepancies between carrier invoices and Paycom
    • Work with HR and Benefits Coordinator to resolve discrepancies in a timely manner
    • Bi-weekly 401k audit reconciliation Paycom to Principal for both locations
    • Quarterly rate and contribution audit of 401k plan
    • Quarterly Workers Compensation Audit
      • Identify errors in worker classification
      • Identify State/locality errors
      • Work with HR and Benefits Coordinator to resolve errors

Administrative Function

  • Serve as the primary administrator for Concur
    • Set up new employees
    • Work with HR on deactivations of terminated employees after final report
    • Password resets for current employees
    • System maintenance including changing employee manager, cost center, and locations
    • Serve as the American Express Card Administrator
      • Order cards for incoming employees
      • Assist employees with expedited replacement card ordering
      • Pull monthly statements and send to corporate
      • Cancel cards of terminated employees
      • Run adhoc reports as requested
      • Enter employee changes and elections received from Principal (401k) into Paycom per weekly report
      • Other duties as assigned

Qualifications/Experience:

  • Associates in Accounting, Finance, Business Management, or HR
  • 5-10 years experience processing multi-state, high volume payroll
  • Benefit auditing experience a plus
  • Excellent communication skills (verbal and written)
  • Extensive knowledge of Payroll processing  
  • Working knowledge of payroll tax laws and issues
  • Experience processing high volume payroll with complex entries
  • Solid understanding of accounting fundamentals and payroll practices
  • Proficient in MS office, including strong Excel skills
  • Ability to deal sensitively with confidential material
  • Excellent problem solving and analytical skills
  • Aptitude for numbers and exceptional commitment to accuracy
  • Strong attention to detail and ability to prioritize tasks
