The Account Resolution Representative (ARR) is responsible for all aspects of compliance/resolution for our customer accounts. This individual will work closely with our Customer Service, Finance, Contracts, and Shared Services team to resolve customer disputes by utilizing knowledge of company products, programs, and procedures. In addition, the ARR will be responsible for ensuring that all customer master data for active accounts is setup accurately and possesses the required up to date account documents. The functions include but are not limited to risk assessment, reconciliation, dispute resolution, and account compliance.
Essential Functions:
• Adhere to Accounting Department policies and procedures
• Collaborate with internal departments (e.g., Customer Service Department, AR, Sales Team, and FSS) on a regular basis to keep customer accounts precise, current, and compliant
• Monitor accounts receivable short paid balances and utilizes documented process to reconcile/resolve.
• Communicate with key customers to resolve disputes and monitor compliance to credit control procedures
• Organize and prioritize account actions based on amount and days past due and utilizes appropriate form of communication to match urgency level of the account resolution
• Handle incoming/outgoing customer calls, manage the department email inbox to resolve customers request and issues, process invoices, and review AR incoming mail
• Investigate and fully resolve customer payment disputes and billing discrepancies in a timely and professional manner - including determining root causes and providing all documentation to support resolutions
• Follow the formal dispute resolution process and always seek process improvements
• Escalate issues when deemed necessary
• Work with internal/external customers to resolve account related issues
• Review customer master data and ensure accuracy based on customer documentation on file - including billing address, customer contacts, taxability status, etc. and.
• Prepare weekly status report on resolved items
• Other duties that are assigned
Qualifications / Education:
• Associates or Bachelor's degree in Accounting or related field of study
• A minimum of 3-5 years of Business-to-Business Accounts Receivable
• Intermediate knowledge and understanding of basic accounting principles/practices
• Must be able to perform in a fast-paced high-volume environment
• Intermediate-Advance knowledge of Microsoft Office programs (Outlook, Word, Excel)
• Results oriented and driven by performance improvement
• Highly organized, detail oriented and self-directed, able to meet deadlines
• Ability to complete routine reports and other correspondences timely and accurately
• Financial reporting experience
• Ability to work well with others
• Customer service oriented with professional written and verbal communication skills
• Experience with SharePoint and tax management databases is a plus
